Descriptions do not survive staff changes
The wave guy exists only in the minds of the three people present when he was found. When one leaves, the description degrades. When two leave, he is gone entirely — still working, still available, permanently unreachable by an organisation that once loved his work.
Institutional memory needs an institution
Knowledge held in heads is not institutional. It is personal knowledge that the institution is borrowing, on terms it does not control, with no notice period.
Your search terms are not their search terms
Even when you remember something, you rarely remember the thing that is indexed. You recall a mood; the platform indexes a username. You recall the piece; the platform indexes tags chosen by someone else. The gap between how you store an artist and how the internet stores them is where the afternoon goes.
Write the bridge down
A record that holds both — the official handle and your own note about the misty forests — is searchable from either direction. That is the entire trick, and it costs one sentence at save time.
Notes are the highest-value field
Skills and rates can be captured automatically. The reason you cared cannot, because it is subjective and it lives only in you for about a day. One line — textures like wet stone, would suit the horror line — is worth more in six months than every structured field around it.
Future-you is a stranger with your job
Write for that person. They will have no idea what you were thinking, and they will be in a hurry.
