Cobalt
A VFX studio where the only person who knew the freelancer list went on holiday.
Cobalt’s entire freelance network lived in the head of one producer, who took two well-earned weeks in Portugal and inadvertently paused the studio’s hiring capability.
The team could see the work that needed doing. They could not see who to ask. Several excellent artists went uncontacted because the person holding their names was, correctly, not checking Slack.
We moved the network out of one head and into a place with more than one key.
The producer’s knowledge became a shared roster with ownership marked per relationship, so the team can find and brief artists without waiting for a flight to land. She still holds the relationships. She no longer holds the only copy.
